The Questions We’re Always Asking Ourselves While We’re Setting Up on Your Wedding Day
By the time your wedding day arrives, most of the big decisions have already been made. Your vendors are booked, your design is finalized, and your timeline is set.
But there’s another layer to the day that doesn’t always get talked about. What is happening in real time while everything is being set up. Because even with the best plan in place, there are still a lot of small decisions that need to be made on site. And those decisions are what protect the flow of the day.
This is where our team shifts from planning to observing, adjusting, and thinking a few steps ahead.
The Goal Isn’t Just Setup, It’s Awareness
When we arrive on your wedding day, we’re not just checking things off a list, we’re looking at everything as it’s coming together and asking, does this actually work the way we intended it to?
Are all the rentals accounted for, and does everything look the way it’s supposed to once it’s placed? When your photographer comes to capture details like your welcome sign or seating chart, what does the background actually look like? Does it feel clean and intentional, or is there something we can adjust to make that moment feel more polished?
We’re constantly zooming out and then back in, noticing the big picture, but also the small things that could easily get overlooked.
Thinking Ahead Before Guests Arrive
A big part of what we’re doing during setup is thinking through what could happen next.
If there’s even a slight chance of rain before guests arrive, should we cover the tables, the welcome display, or anything paper so nothing gets damaged before the day even starts? If it’s windy, when is the right time to put out candles and glassware so we’re not risking anything breaking or needing to be reset? If it’s especially hot and sunny, when should we place florals so they stay fresh and beautiful through the ceremony and into the evening? Are they being watered properly while they’re waiting to be set? When should we place candles so they don’t melt in the sun?
These are all small decisions, but they make a big difference in how the day holds up.
Making Sure Everything and Everyone Is Where They Need to Be
We’re also keeping a close eye on the moving pieces.
Did all of your vendors arrive on time, with everything they need? Is hair and makeup running on schedule? Did your guests find the shuttle pickup location without confusion?
Because even when everything is planned out ahead of time, the reality of the day still needs to be checked and confirmed in real time. And if something is slightly off, we’re adjusting early, before it becomes something you feel later.
Protecting the Flow of the Space
As the layout comes together, we’re also thinking about how the space will actually function once it’s full of people.
At the ceremony, we’re looking closely at the seating. Are there enough chairs for all of your guests to sit comfortably? Are there too many, and will that make the space feel empty or disconnected? Do we have enough seats reserved in the front row for your immediate family or wedding party if needed?
We’re also paying attention to how the chairs are set. Are they straight? Is there enough space between rows for guests to easily walk through and sit down without feeling cramped? Does the layout feel intentional when you’re looking down the aisle?
And at the same time, we’re thinking about your photographer. Are they able to move around the space and capture different angles without disrupting the ceremony or blocking your guests’ view? Is there enough room for them to do their job well without it feeling intrusive?
Then as we move into the reception, the same kind of thinking continues. Is the dance floor placed in a way that feels connected to the rest of the space? Will guests naturally move toward it, or does something feel slightly off? Are any overhead installations at the right height, where they make an impact but don’t get in the way? And as the sun starts to set, are all of the lights ready to go? Do we know exactly when and how they’ll turn on, and how that transition will feel as the evening shifts?
Again, none of this is dramatic, it’s just thoughtful.
Why These Questions Matter
Individually, none of these questions feel like a big deal, but together, they’re what create a wedding day that feels smooth, intentional, and easy to be part of.
They’re what allow your vendors to stay focused on their work, what keeps your guests comfortable and engaged, and what prevents small issues from turning into bigger ones.
Most importantly, they’re what allow you to stay present. You’re not thinking about whether something is set up correctly or if something needs to be adjusted. Your planner handled it.
