How Our Team Prepares for Your Wedding Day Before You Arrive in Hawaii

When you start planning your wedding, it’s easy to picture what happens once you’re here, but for destination weddings, especially in Hawaii, a lot of what makes that day feel seamless actually happens long before you arrive.

Because by the time you step off the plane, the goal isn’t for you to run around tying up loose ends, but rather for you to feel start to relax and be on vacation.

The Part You Don’t Always See

Most of our couples are planning from afar, balancing full lives, busy careers, and a long list of decisions. So a big part of our role is taking everything you’ve been working through and turning it into a clear, organized plan that can actually be executed.

That means confirming vendors, finalizing rentals, reviewing timelines, and thinking through setup, transitions, and all the small details that connect everything together. It’s not one big task, it’s a lot of smaller ones that build on each other.

And it’s not handled by one person. It’s a team effort.

Big Picture Planning

Your lead planner, whether that’s Kayla or Louise, is focused on the overall experience of your wedding. They’re looking at everything as a whole.

They’re reviewing your timeline, confirming that all vendors are aligned, doing final checks to make sure rentals are accurate, and nothing has been missed. They’re thinking through how the day flows from start to finish and making sure every piece supports that.

They’re also leading your final meetings with key vendors like your DJ, your officiant, and your photographer. These conversations are where we walk through the timeline together, align on expectations, and make sure everyone is clear on how the day will unfold.

At the same time, they’re building out the team that will actually bring your wedding day to life. That means making sure the LLW coordination team is fully staffed, bringing in additional team members when needed, and thinking through how much time we’ll need for setup, who is handling each part of the day, and how everything is going to come together on site (what we call our production schedule).

It’s the big picture, but it’s also the details that make that big picture work.

Design and Details

At the same time, we’re refining everything that brings your wedding to life visually. Kayla, who leads a lot of our design work, is often focused on making sure all of those details are accurate, cohesive, and ready to go.

That means reviewing your design presentation, finalizing your decor list, and making sure everything aligns with your vision. 

It also includes your paper goods and signage. Making sure every escort card is accounted for, double-checking that your menus match your final catering selections, and confirming that your signature cocktails are correct and reflect exactly what will be served. These are small details, but they’re the ones your guests interact with throughout the day.

And when they’re done well, everything feels thoughtful and intentional without you having to think about it.

Vendor Coordination and Communication

There’s also a lot happening behind the scenes when it comes to vendor communication. Kennedy is often supporting this part of the process, helping confirm what each vendor needs for the day, coordinating logistics, and making sure information is flowing clearly between everyone involved.

She’s typically the one scheduling those final meetings with your vendors, making sure everyone is available and that we have time to talk through everything in detail before the wedding day. She’s also taking detailed notes during meetings so nothing gets lost or forgotten. Because when you’re managing multiple vendors, timelines, and moving pieces, clear communication is what keeps everything running smoothly.

Organizing, Packing, and Preparing

Then there’s everything that needs to physically be ready for your wedding day. Sarah plays a big role here, making sure all decor is cleaned, organized, packed, and accounted for.

That includes making sure items like candles and frames are clean and ready to be set, reviewing what you’re providing versus what we’re providing, and preparing everything so it’s easy for the team to set up efficiently on the day of. She’s also packing our teams emergency kit, any bathroom kits you’ve opted to include, and making sure our team is fully equipped with what they need, from fanny packs to walkie-talkies.

She’s tracking decor that’s being used across multiple events, making sure all the decor you’ve shipped to us arrives and is intact, and resetting everything once your wedding is complete.

It’s the kind of work that isn’t always visible, but it’s essential to making the day feel smooth.

Floral Preparation

At the same time, our floral team is working through their own set of logistics. Chevi is updating your floral proposal, sending your final invoice, ordering all the flowers and supplies to arrive at just the right time and making sure your design is aligned with your overall vision.

She’s also organizing the floral team, thinking through how arrangements will be created, transported, and installed on the wedding day. Because flowers are one of the most time-sensitive parts of your wedding, and getting that right requires planning well in advance.

Why All of This Matters

By the time your wedding day arrives, all of these pieces have already been thought through. Your vendors know what to expect, your timeline is clear, your design is finalized, your decor is packed and everything is just ready to go.

So instead of arriving in Hawaii and feeling like you need to manage a ton of little details, you get to step into a plan that’s already been built for you. You get to be present and enjoy the experience, because everything behind the scenes is already in motion.
